Open Shifts

This article explains how to utilize the Open Shifts feature in myStaffSchedule.

What is the Open Shifts Feature? 

The Open Shifts feature streamlines the process of shift posting and staff sign-ups, saving time and ensuring efficient scheduling. This feature allows schedule admins to post open shifts that staff can sign up for, making scheduling more flexible and adaptable. 

How do I enable the Open Shifts feature? 

To enable the Open Shifts feature, navigate to SETUP > Configuration, click on the Advanced tab, and then enable Open Shifts. The servers will update, and the feature will be enabled within 15 minutes. 

How do I create an Open Shift? 

There are several ways to create an Open Shift: 
1. Using the Open Shift button: Click the green plus to add or the blue button to list all open shifts. 


2. Right-click in the shift box on the schedule page.

3. Staff can request an Open Shift by filling in the short form.

A schedule admin then approves which staff members will take the shift, with staff ordered by their sign-up date and times. Multiple staff members may be approved for shift splits.

How do I manage Open Shifts? 

Once at least one staff member is approved, a new button appears for Schedule Admins—the black 'Filled' button. Click this to send notifications and update the schedule.

To notify staff of an open shift, click the purple button, select the staff groups to notify, and click 'Send'.

Can I convert validation rule exceptions to Open Shifts? 

Yes! Each validation rule has a new switch to enable 'Convert to Open Shift'.  

  • This special type of Open Shift behaves differently. When the validation rule is satisfied, the open shift notice will disappear unless a staff member has already requested it. 
  • Once a staff member requests a converted open shift, it will behave like a regular open shift.
